Purchasing & Donations

To avoid any confusion as to what can and cannot be purchased by staff members regarding Instructional Technology, please review the information below.  

Please note that all programs, websites, extensions, software and apps require both a Data Privacy Agreement with the vendor as well as district Curriculum Council approval prior to any official purchase, pilot or donation.  Approved District Programs

Restricted Technology Purchases

Administrators, faculty, and staff may not purchase the following technology items, services, or related equipment without prior approval from the Director of Instructional Technology. 
Please email your principal or Mr. Voigt for any hardware purchase requests in this category. 

  • 3D Printers and Related Equipment

  • Apple Products and Accessories
    Includes iPads, MacBooks, Apple TVs, chargers, adapters, and related Apple hardware. Apple products must be purchased through the district’s approved Apple purchasing process.

  • Artificial Intelligence (AI) Systems, Tools, and Platforms
    Includes AI chatbots, AI writing tools, AI image/video/audio generators, AI tutoring tools, AI grading tools, AI meeting assistants, AI browser extensions, and any website, app, program, or platform that uses artificial intelligence and requires staff or student accounts, uploads data, processes student information, or stores user content. Examples include ChatGPT, Claude, Canva AI tools, Grammarly AI, MagicSchool AI, Perplexity, Midjourney, DALL·E, image/video generators, transcription tools, and similar AI-based platforms. AI tools require prior approval due to data privacy, student information, account access, copyright, instructional use, and cybersecurity considerations.

    Approved District AI Tools: DIFFIT, Microsoft Copilot and Google Gemini are approved for district use when accessed through the approved district account environment and used in accordance with district expectations.
     

  • Audio/Visual Equipment
    Includes microphones, sound systems, livestreaming hardware, video production equipment, document cameras, and related accessories.

  • Cameras and Recording Devices (Live)
    Includes webcams, livestreaming cameras, security cameras, surveillance cameras, Nest/Ring-style cameras, and any device capable of recording live video.

  • Cellular, Hotspot, or Mobile Internet Devices

  • Cloud Storage, File-Sharing, or Backup Services

  • Computer Monitors and Displays
    Includes desktop monitors, portable monitors, additional/second monitors, televisions, Smart TVs, projectors, SmartBoards, interactive displays, and related display equipment.

  • Copy Machines, Printers, and Scanners
    Includes paper printers, 3D printers, copiers, scanners, multifunction devices, and related equipment.

  • Device Chargers, Power Adapters, and Charging Stations
    District device chargers are supplied through the appropriate district process and should not be purchased independently.

  • Devices with an Operating System
    Includes desktops, laptops, Chromebooks, iPads, tablets, Android tablets, Amazon Fire tablets, media devices, and similar equipment.  All devices (including Chromebooks) may only be purchased, managed, supported and maintained by the district technology team. 

  • Digital Subscriptions, Licenses, and Online Services
    Includes paid websites, online programs, instructional platforms, digital subscriptions, cloud-based tools, and any service requiring staff or student accounts. These will require a Data Privacy Agreement prior to purchase consideration. 

  • District Phones, Fax Machines, and Phone Peripherals
    Includes desk phones, fax machines, headsets, handsets, conference phones, adapters, and related phone accessories.

  • External Storage Devices
    Includes external hard drives, USB drives, flash drives, portable backup drives, and memory cards.

  • Media Streaming and Casting Devices
    Includes Amazon Fire Sticks, Apple TVs, Chromecast devices, Roku devices, wireless HDMI systems, and similar media devices.

  • Network Cables, Adapters, and Connectivity Equipment

  • Networking Equipment
    Includes access points, routers, switches, hubs, modems, Wi-Fi extenders, network bridges, and similar equipment.

  • Online Accounts, Apps, Extensions, and Software
    Includes installed software, browser extensions, mobile apps, web-based programs, online accounts, AI tools, and any platform used by staff or students.

  • Robotics, Drones, Maker-Space, or Programmable Devices
    Includes drones, robotics kits, programmable devices, circuit boards, smart sensors, and similar instructional technology equipment.

  • Smart Home, Voice Assistant, or Internet-Connected Devices
    Includes Amazon Alexa/Echo devices, Google Home devices, smart plugs, smart speakers, smart displays, and any device requiring Wi-Fi or network access.

  • Technology Hardware Requiring Wi-Fi or Network Access
    Any device that connects to the district network, uses Wi-Fi, stores data, transmits data, or requires account-based access must be reviewed before purchase.

  • Televisions, Projectors, and Presentation Displays

  • Virtual Reality, Augmented Reality, Mixed Reality, and Smart Glasses Systems
    Includes VR headsets, AR/MR devices, smart glasses, goggles, controllers, sensors, and related accessories. Examples include Meta Quest devices, Apple Vision Pro, Google Glass-style devices, VR goggles, smart glasses, and similar wearable or immersive technology systems. These devices require prior approval due to student privacy, data collection, account requirements, software/app access, supervision, safety, network compatibility, and instructional use considerations.

  • Wireless Display, Casting, or HDMI Systems

When in doubt, staff should request approval before purchasing any technology-related item, subscription, app, website, or device.

Many technology purchases require district review to ensure compatibility, cybersecurity, network safety, data privacy compliance, purchasing compliance, and long-term support. Software, apps, websites, digital tools, and online services may also require a Data Privacy Agreement before they can be purchased, accessed, or used with students or staff.

Allowed Technology Purchases

Administrators, faculty, and staff may purchase the following technology-related supplies and accessories using appropriate approved funding sources, provided the items do not require district network access, software installation, account creation, student data access, data storage, recording capability, or additional technology configuration.

These items are generally considered allowable purchases when used with existing district-approved equipment.

This list includes, but is not limited to, the following allowed purchases:

  • Batteries
    Includes standard replacement batteries such as AA, AAA, C, D, 9V, and button-cell batteries for approved classroom devices.

  • Calculator Accessories
    Includes replacement cases, covers, batteries, and basic supplies for existing approved calculators.

  • Calculators
    Includes basic, scientific, and standard classroom calculators that do not require Wi-Fi, online accounts, software downloads, or network access.

  • Computer and Device Cleaning Supplies
    Includes screen wipes, microfiber cloths, keyboard cleaners, and other basic cleaning supplies for district-approved devices.

  • Computer Speakers
    Includes basic wired desktop or portable speakers that connect directly to an approved device and do not require Wi-Fi, Bluetooth pairing, software installation, or network access.

  • Device Cases and Protective Covers
    Includes cases, sleeves, covers, and protective accessories for existing approved district devices.

  • ELMO and Document Camera Supplies
    Includes bulbs, lamps, cables, mats, and other non-networked replacement supplies for existing approved ELMO or document camera equipment. APPROVED ELMO MODEL: Elmo 1450 ITEM: MX-P3 Visual Presenter

  • HDMI Cables
    To connect a personal Laptop or Device to a classroom SmartBoard

  • Headphone Listening Stations
    Includes basic classroom listening centers that connect to existing approved equipment and do not require software, Wi-Fi, Bluetooth, or network access.

  • Headphones, Earbuds, and Computer Headsets
    Includes basic wired headphones, earbuds, and computer headsets for student or staff use. Phone-system headsets, wireless headsets, Bluetooth headsets, and recording/livestreaming microphones require prior approval.

  • Keyboard and Mouse Accessories
    Includes basic wired or wireless keyboards and mice that do not require software installation, account setup, or network configuration. NOTE: The district will provide a Keyboard and Mouse but if you prefer something else you may purchase your own. 

  • Mouse Pads and Wrist Rests

  • Printer Supplies
    Includes toner, ink, paper, labels, and other consumable supplies for existing approved district printers and copy machines. New printers, scanners, copiers, and multifunction devices require prior approval.

  • Screen Protectors

  • SmartBoard and Interactive Display Supplies
    Includes replacement pens, erasers, pointers, styluses, and basic non-networked accessories for existing approved SmartBoards or interactive displays.

  • Styluses and Touchscreen Pens
    Includes basic styluses that do not require software, Bluetooth pairing, charging, or account setup.

  • Wired Presentation Clickers and Pointers
    Includes basic plug-and-play presentation remotes that do not require software installation, Bluetooth pairing, or network access.

When in doubt, staff should request approval before purchasing any technology-related item, especially if the item connects to Wi-Fi, stores data, records audio/video, requires an online account, installs software, or connects to the district network.

Technology Donations

Donations: Please review the official District Policy 1800 which clearly defines all technology donations (including pilot programs). Technology Hardware, Programs, Software and Device Acquisitions

All grants, pilots, donations, gifts or purchases for any technology (including but not limited to hardware, computers, tablets, laptops, printers, software, programs, devices, etc.) must be approved by the District Director of Instructional Technology prior to any acceptance or ordering. Any request for technology acquisitions must be pre-approved by the District Director of Instructional Technology prior to acceptance. With regard to acceptance of any technology through a grant, gift, donation, funded program, loan or pilot the following limitations are considered:

  1. Compatibility – Ability for the hardware/program/software/devices to exist and function on the district’s network and Wi-Fi.
  2. Consistency – Ability to alter purchases to remain consistent with current district hardware/program/software/devices
  3. Maintenance and Security – Ability for the technology department to maintain and secure the proposed hardware/program/software/devices
  4. Sustainability – Ability for the technology department to sustain the proposed hardware/program/software/devices with replacements as needed
  5. Safety – Ability for the proposed hardware/program/software/devices to be managed, filtered and secured according to regulation
  6. Regulatory – The proposed hardware/program/software/devices meet all requirements set forth in the district’s acceptable use policy (4526-R)
  7. Obsolete – The proposed hardware/program/software/devices are not outdated and/or not usable by the district due to obsolete specifications.

In the event technology is offered, presented or ordered that is not approved or compatible one of three decisions will be made by the Director of Funded Programs, the Director of Instructional Technology and donor:

  1. Change/Update the offer to include hardware/program/software/devices which are compatible/approved by the district
  2. Return the hardware/program/software to the donor if replacement with hardware/program/software/devices is not an option
  3. Decline any donation that cannot be updated to reflect compatible and/or useful hardware/program/software/devices.

With regard to computers, tablets, servers, devices, only those with current Microsoft Windows Based Operating Systems and/or OSX/iOS Operating Systems (Apple) will be accepted and approved. The district cannot and will not accept any other operating system (IE Android, Chromebook, Chromium, Linux, UNIX, etc.) as part of a grant, donation, gift or funded program purchase.
